Accounting & Administrative Coordinator

Reports to: Executive Director of Align

Position Description:

The Accounting & Administrative Coordinator for the Align Center for Workforce Development will be responsible for performing secretarial work, process administrative and clerical detail and handle more difficult administrative matters independently; record/transcribe, or independently prepare correspondence, records and reports; perform public contact and related clerical and secretarial work; and perform related work as required. Maintain confidentiality.

Primary Responsibilities:

Administrative Support:

  • Assists administrator(s) by screening office and telephone inquiries, providing information requested or referring to proper agency, and by answering confidential or other responsible correspondence and inquiries.
  • Assists administrator(s) by making appointments and provides reminders of scheduled activities.
  • Prepares meeting packets.
  • Prepares interoffice notices, bulletins and memoranda, compile information and prepare records and reports.
  • Reconciles or refers complaints.
  • Takes detailed notes and transcribes for meeting minutes.
  • Understand office technology to assist staff and arrange online meetings.
  • Works with databases and specialized software programs.
  • Maintains confidential records, files and reports.
  • Operates computer and other office machines and equipment.
  • Use Microsoft Suite and/or Google Suite software programs, including creating and using spreadsheets, as well as Quickbooks and Salesforce.
  • Obtains office supplies and materials pursuant to standard organization processes.
  • Performs visitor services and directs calls; performs logistical and project management duties.
  • Composes, types and processes correspondence and reports.
  • Perform reception duties including directing calls and visitors.
  • Relieves administrator(s) of routine duties.
  • Act as liaison intermediary between administrator(s), staff and the public in the absence of the administrator(s), as authorized.
  • Analyzing business processes and finances, implements business plan.

Bookkeeping/Accounting:

  • Responsible for processing invoices and payments and other accounts receivable and payable information and preparing formal and informal financial reports.

Performs other related duties to benefit the mission of the Center.

  1. High School diploma.
  2. Minimum of 3 years of experience in office administration/accounting.
  3. Proficiency with Microsoft Office software.
  4. Demonstrated ability to maintain confidential information.
  5. Demonstrated ability to achieve objectives in collaboration with other stakeholders.
